POSITION TITLE:     Deputy Clerk – Full-Time position




  • Answers phone;
  • Assists “walk-ins”, including directing visitors to appropriate county departments;
  • Sorts in-coming mail;
  • Orders and distributes office supplies;
  • Issues certified copies of vital records and has first-hand knowledge of Vital Records Laws;
  • Computes the amount due for all tax redemptions, maintains records of all sold, forfeited and redeemed taxes and of all tax purchases, and issues tax deeds;
  • Issues Marriage Licenses;
  • Registers Assumed Names and notaries;
  • Maintains records of and indexes all public and non-public documents, provides certified copies for the public;
  • Responds to genealogy requests via e-mail;
  • Special assignments: periodically respond to special projects as assigned by the County Clerk.



  • Attends, Records, transcribes and indexes all County Board meetings;
  • Prepares monthly financial reports for the County Board;
  • Prepares agenda and monthly packets for County Board Members and County Webpage;
  • Handles e-mail correspondence to County Board;
  • Maintains website information for County Clerk and Recorder and County Board;
  • Assists in preparing the annual budget estimate for the County Clerk and Recorder;
  • Performs accounts payable and receivable activities;
  • Compile the County Yearbook every other year;
  • Responsible for issuing annual renewal of Liquor, Recreation and Video Gaming Licenses;
  • Process Internet Vital Record requests and prepares Internet and Point of Sale (P.O.S.) revenue in receipting for deposit;
  • Reconciles County Clerk checking and savings accounts and verifies receipting daily (cash drawer);
  • Performs general secretarial duties and other office related duties as assigned;

  • Proficient computer skills – Microsoft Word, Excel and Access;
  • Ability to Multi-task;
  • Knowledge of accounting practices and office terminology;
  • Ability to acquire knowledge of State Statutes, County Ordinances, and other state agency rules and regulations;
  • Knowledge of coding, filing and indexing;
  • Knowledge of the practices and methods of personal computer operations and typing;
  • Knowledge of county boundaries, all governmental unit boundaries within county, precinct boundaries and major population areas;
  • Ability to establish and maintain working relationships with co-workers, other county employees, government officials and the general public;
  • Strong sense of customer service, tact and common courtesy.




  • Minimum High School Diploma or GED;
  • Experience required in, but not limited to computers, typing, filing, telephone skills, working with the public in a professional manner, and usual clerical functions.
